Password-Manager
Password managers are the tool to use hundreds of secure passwords without having to remember hundreds of secure passwords. Instead of remembering every password you save them all in your passwort manager and only have to remember the password to your password manager the so called main password.
Why not just an Excel/Word/text file?
Excel, Word and text files are not stored encrypted so if anyone gets access to your file they know all of your passwords. Since password managers store all of your passwords with a strong encryption you don't have this risk if you chose a long and secure main password. Office offers a feature to save files with a password but contrary to what it seems like this doesn't offer any meaningful encryption for passwords. Password managers are programmed specifically to store passwords in a secure way by using advanced encryption algorithms so that even if attackers would get access to your password manager database they couldn't encrypt it if you chose a good main password. Since office and text files don't offer this security regardless of encryption or not you should never use them to store your passwords.
btw: passwords on sticky notes are of course also less secure than storing them in a password manager
Which password managers can I use?
Currently you can use the password manager KeePassXC. In the near future we will add Vaultwarden for you to use. Vaultwarden even offers you to share passwords in a secure way.
additional benefits from using password managers
If you use the web browser extension from your password manager it can autofill the password on the fitting sites without you having to copy and paste or manually write your passwort. That's easier and more secure!
Multi-Factor-Authentication (MFA)
in shortform:
With Multi-Factor-Authentication (MFA) you have at least a second security element alongside your password. This could for example be an app on your smartphone ar a USB stick. With additional factors it is not enought for attackers to steal your password. This increases the level of information security.
Instructions on how to set up and use MFA can be found in the HCU IT Knowledge Base and on these pages.
